1. Scope and accountability

This policy explains how DigitalDots Technologies handles personal information collected through digitaldotstechnologies.dev and in the course of providing our services. We are the organisation accountable for that information under PIPEDA. 2. Information we collect

Information you give us

• Enquiry details — your name, business name, email address, phone number, the plan you are interested in, your timeline and your description of the project, submitted through our contact form or by email.
• Client and billing details — billing name and address, business details, and the email address used for invoices.
• Project material — content, images, logos and access credentials you send us so we can build or manage your website or campaigns.
• Correspondence — emails, call notes and messages exchanged with us.

Information collected automatically

• IP address, browser type, device type, operating system, referring page, pages viewed and time spent, collected through standard web server logs.
• Cookie identifiers, as described in our cookie policy.

We do not collect sensitive personal information, and we ask that you do not send us health information, government identification numbers, or financial account details by email.

3. How we use it

We use personal information only for the purposes it was collected for:

• To respond to your enquiry and send you a quote
• To deliver the services you purchased, including building and managing your website or campaigns
• To process payments and issue invoices and receipts
• To provide support and respond to questions
• To send service-related emails such as delivery confirmations, credentials and billing notices
• To meet legal, tax and accounting obligations in Canada
• To improve our website and understand how it is used, in aggregate

We do not sell, rent or trade personal information. We do not use your information for automated decision-making or profiling.

4. Payment information

We do not collect or store payment card details. All card payments are processed by Stripe on a checkout page hosted by Stripe. Your card number, expiry date and security code are transmitted directly to Stripe and are never visible to us. We receive only confirmation of payment, the last four digits of the card, the amount and the transaction reference, which we retain for accounting purposes. Stripe’s processing of your data is governed by Stripe’s privacy policy.

5. Consent

We collect, use and disclose personal information with your knowledge and consent. Submitting our contact form, emailing us, or purchasing a service constitutes consent for the purposes described in this policy. Where we rely on implied consent, the purpose will be obvious from the context. You may withdraw your consent at any time by emailing us, subject to legal and contractual restrictions and reasonable notice — note that withdrawing consent may mean we can no longer provide a service you have purchased.

6. Who we share it with

We share personal information only with service providers who need it to help us operate, and only to the extent necessary:

We may also disclose information where required by law, court order or a lawful request from a public authority, or where necessary to establish or defend a legal claim. If our business is ever sold or reorganised, client information may transfer as part of that transaction, and you would be notified.

7. International transfers

Some of our service providers, including Stripe and Google, store and process data on servers located outside Canada, including in the United States. While information is in another jurisdiction it may be accessible to the courts and law enforcement of that country under its laws. We use providers that maintain recognised data protection standards and contractual safeguards.

8. How long we keep it

• Enquiries that do not become projects — 12 months, then deleted.
• Client project files and correspondence — 3 years after the project ends, so we can support you if you return.
• Invoices and financial records — 7 years, as required by Canadian tax law.
• Access credentials you gave us — deleted from our systems within 30 days of project completion.
• Server log data — standard web server logs are retained by our hosting provider for up to 90 days.

9. How we protect it

We use SSL/TLS encryption on this website, encrypted password management for credentials, access controls limiting who can view client data, reputable hosting with regular security updates, and multi-factor authentication on our own accounts. No method of transmission or storage is perfectly secure, but if a breach ever affects your information in a way that creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as PIPEDA requires.

10. Cookies and analytics

This website uses cookies for essential functionality only; we do not currently run analytics. What each cookie does, how long it lasts and how to disable it is set out in our cookie policy.

11. Your rights

Under PIPEDA you have the right to:

• Ask what personal information we hold about you and how it has been used
• Receive a copy of it
• Have inaccurate information corrected
• Withdraw consent to further use, subject to legal and contractual limits
• Request deletion where we have no legal obligation to retain it
• Unsubscribe from any non-essential email at any time

Email support@digitaldotstechnologies.dev with your request. We respond within 30 days at no charge, and may ask you to verify your identity first.

12. Children

Our services are directed at businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with information, contact us and we will delete it.

13. Changes and complaints

We may update this policy; the current version and its effective date are always shown on this page, and material changes affecting existing clients are notified by email. If you are not satisfied with how we have handled your personal information, please contact us first — and if we cannot resolve it, you may complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
